eBay retail promotions (coupons) are marketing campaigns providing eBay buyers with a discount code to save on great items, from top sellers. Typically, campaigns will offer a percentage (%) discount, and may also offer additional or exclusive benefits for eBay Plus members.
There are two types of campaign that you can participate in:
- Category-based – All your items in specific categories will be included in the coupon promotion. (It's not possible to exclude specific sub-categories or items.)
- Item-based – You'll upload the list of specific items you would like included.
For more information, visit our Seller Centre page on retail promotions - opens in new window or tab.
eBay Deals are featured on the Deals - opens in new window or tab platform. Invited sellers can use Seller Portal to upload and schedule deals, and track their performance.
Getting started with Seller Portal
eBay will send you an invitation to use Seller Portal to manage your participation in eBay coupons (retail promotions) and/or eBay Deals.
To get started, simply log into Seller Portal with your eBay username and password.
Go to Seller Portal - opens in new window or tabIf you didn't receive a "Welcome" email, this could be because your account hasn't been activated for Seller Portal, or you've opted out of email marketing.
Tip
You can add additional users to the Seller Portal for your eBay account. Make sure you're logged in as the primary user (with your eBay username and password), then select your name at the top right of the Home screen and select Manage Users.
Seller Portal homepage
When you log into Seller Portal, you'll see a To-Do list, as well as a calendar view which contains the coupons you're currently invited to participate in (and/or the Deal windows that are open for submissions).
Coupons with different statuses are displayed in different colours, and you can filter the calendar to view the ones you're interested in. Here's how:
- Select the Filter icon.
- Select Status and select the types of coupon you'd like to see in the calendar view.
- Select Apply to apply the filter.
Select the Coupons (and/or Deals) tab at the top right to view full details of campaigns which are at different stages, as well as our user guide.
Managing coupon participation
In the Coupons area of the Seller Portal, you can:
- View lists of your coupons which are at different stages
- Accept or decline coupon contracts
- View completed campaigns
The coupons area also contains a To Do list which shows the number of coupons requiring your attention. Simply click on the number to go to your Action Required list where you can see more details on what you need to do. Once all tasks have been completed, your To-Do list will disappear.
List views of your coupons
There are a number of tabs available which allow you to view your coupon lists based on the different statuses. You can also take the necessary steps to confirm your participation in a coupon.
Here's a list of coupon statuses:

Future campaigns are presented in a read-only format to allow you to plan your schedule. |

Accepting or declining a coupon contract
Coupons that are ready for signature are shown in the Action Required list view. Please check the Coupon Contract Due Date column, as you'll need to sign the coupon contract before that date to confirm your participation.
Here's how to review and accept or decline a coupon contract:
- Select the Contract tab on an individual coupon to see a summary of the campaign.
- Select View Agreement and carefully review the details of the contract.
- Select I Agree to accept the contract and confirm your participation in the coupon, or alternatively, select Decline if you do not wish to participate.
If you accept a coupon contract
Once signed, you'll receive a PDF copy of the confirmed contract which will be automatically downloaded onto your device (laptop, desktop etc.) for your reference. You can also download additional copies of the contract by re-visiting the contract page of the relevant coupon.
The coupon will appear in the Planned Coupons list view, and we'll take care of all required steps to execute the campaign. The coupon will automatically go live on the campaign start date, as stated in the contract.
Please note that by selecting I Agree, you are agreeing to the terms and conditions of the coupon contract and will be bound by those terms.
You may not increase your listing prices before participating in the campaign. For more information, please read our Comparative pricing policy.
If you decline a coupon contract
We'll ask you to select your reason for declining. Based on your reason, we may ask you to provide some additional feedback to help us tailor which coupons to invite you to in the future.
You can see the coupons you declined in the Declined Coupons list view.
Completed campaigns and billing
Once the coupon promotion period has ended, the campaign will appear under the Past Coupons list view.
You'll be charged for the agreed coupon funding amount approximately 45-60 days after the campaign has ended. This will be shown on your account as "Seller co-funded voucher charge", with details of the relevant coupon code. Note that billing information is not visible on the Seller Portal. If you have any questions about coupon funding charges, please contact your account manager or contact us.
Managing deal submissions
If you've been invited to use Deals, you can create and upload up to 200 deals per submission window.
In the Deals area of the Seller Portal, you can:
Plan your deal schedule
Deal windows are periods of normally one week in which your deals will be live on site. You can view upcoming deal windows on the calendar view or from the Deals list views.
You can only upload deals to windows which are "Open for Submissions". Please ensure you check the cut-off date for each deal window, as you'll need to upload deals before that date.
Deal window status |
Description |
Pending |
The deal window is planned for the future, but you cannot upload deals to it yet. Use these to plan your deal schedule for future weeks. |
Open for Submissions |
You can upload your deal submissions. Windows are open for submissions from 31 days before the start date and close 9 days before the start date (meaning you have a 22-day period to upload deals for that window). |
Closed for Submissions |
The deal window is closed for submissions. |
Running |
Deals are currently live on the eBay site. |
Completed |
Deals have ended on the eBay site. |
Upload deal submissions
To begin creating deals, select Get started at the top of the Seller Portal Deals page.
From here you'll need to download the template CSV file. Here's how:
- Select the drop-down arrow next to the open deal window.
- Select Create Multiple Deals.
- The INFO panel shows you how many deals you have left available to upload in that weekly window
- You can upload in several batches if necessary up to a maximum of 200 deals for each window overall
- Select Download Template to download the CSV file.
- Complete the mandatory fields in the Upload Deals CSV file:
- Columns A-E are mandatory
- Columns F-I are optional
Next, you'll need to format the eBay Item ID in the CSV upload file as a number with no decimal places. Here's how:
- Highlight the eBay Item IDs in Column A and right-click.
- Select Format Cells from the menu.
- Select Number from the category menu.
- Change the number of decimal places to 0.
After completing the CSV file, follow these steps to upload your deals:
- Select the Upload Files button and locate your saved CSV file.
- Select Next to show a preview of the deals in the preview pane.
- Review the deals in the preview to make sure everything is correct. (This is to show you that your data is matching the template.)
- Select Submit.
If your deals have been successfully uploaded, you'll get a success message in the Seller Portal and they'll be submitted to eBay for review. You can monitor the status of your deals using the Deals list views.
If your deal is not uploading, check for the following errors:
- Duplicate deals – You have submitted the same item twice. You can only upload the same item to one open deal window spanning the same dates
- Invalid item ID – The format is incorrect or a listing in the deal is not live yet on eBay
- Missing/Invalid data – A mandatory field has been left blank or some data is not in the correct format (e.g. a price field with a letter instead of a number)
- Listing doesn't meet requirements – Listings must offer free postage and 0-1 day handling time to qualify
- Uploading too many deals – You can only upload 200 deals to an individual deal window
Track deal status and performance
Once deals are accepted by eBay, they'll appear in the Future Deals list view and will then automatically appear live on site on the window start date. You'll also receive an email confirmation with the status of all of your deals before the deal window goes live.
You can review the performance of individual deals from the Past Deals list view.
